HearLink uses Groups instead of fixed user roles. Your organisation creates custom Groups with tailored permissions, giving you complete control over what each team member can access and do.
| System Type | Description | How it works in HearLink |
|---|---|---|
| Fixed roles | Predefined roles with set permissions | Not applicable. HearLink allows full customisation |
| Custom roles | Roles created and managed by your organisation | You define Groups and permissions to suit your needs |
How Groups work as roles:
Rather than pre-defined roles like "Admin" or "Receptionist", your organisation owner creates Groups based on your actual team structure. For example:
- Front Desk Staff Group - can book appointments, check in patients, view schedules.
- Clinicians Group - can create, orders, hearing test results, repairs.
- Practice Managers Groups - can access reports, financial data and organisation settings.
What you can and cannot change:
You cannot change you own Group membership - only your organisation owner or users with admin privileges can assign you to different Groups.
You can be in multiple Groups - if your role spans different responsibilities (eg. clinician who also manages a location), you can be added to multiple Groups to combine permissions.
Group changes take effect immediately - if you organisation owner adds or removes you from a Group, your access changes right away without needing to logout.
