Create, Edit, Delete and Manage SMS Templates

SMS templates allow your organisation to standardise the content used for appointment confirmations and reminders. By creating reusable templates, you ensure consistent messaging and reduce manual editing when configuring appointment communications.


SMS templates are selected in appointment type confirmations and reminders, are automatically sent and replace the default messaging of the system.


In this article we'll cover how to:


Only users with the correct permissions can manage SMS templates. If you think you should have permission to perform such an action please contact the organisation owner.



Create an SMS template

  • Navigate to Organisation settings
  • Locate and click the Communication Settings section of the settings.
  • Click the Edit iconnext to SMS Templates.



  • Click the Create new SMS template button.



  • Select the SMS template Type.



Complete the SMS template setup:

  • Enter a template Name.
  • Add a Message, using Variables if required.
  • For confirmations you can use the variables to insert a link to any forms attached to the appointment type.



  • Click Submit to save the SMS template.



SMS template types

SMS templates are categorised by purpose:

  • Confirmation - Sent when confirming an appointment, can include forms.
  • Reminder - Sent as an appointment reminder.


This ensure the correct templates are available when configuring appointment communications.



Using SMS templates

SMS templates are assigned in the Confirmation and Reminders section of the Appointment Types.


Each appointment type can have:

  • one confirmation SMS template per clinic or a single default.
  • one reminder SMS template per clinic or single default.


Once selected, HearLink will automatically use the assigned template when sending messages for that appointment type.

Edit an SMS template


  • Click the Edit iconof the SMS template you want to modify.



  • Update the SMS template as required.
  • Click Submit to save your changes.



Delete an SMS template

  • Locate the Delete icon of the SMS template you want to delete.



  • Click the Delete icon.
  • You'll be shown a warning message.



  • Click Delete to confirm and delete the SMS template.



Warning: Once an SMS template has been deleted this action cannot be undone. Please proceed with caution!
