Why use your own domain?
Deliverability - Emails send from a verified domain are less likely to be marked as spam, so confirmations, reminders and marketing emails are more likely to reach your patients.
Brand recognition - Patients see communications coming from your clinic's own address, rather than a shared or generic domain, reinforcing trust and familiarity.
Flexibility across clinics - If your organisation operates multiple clinics or brands, you can configure a different sender address for each, for example clinic1@yourclinic.co.uk and clinic2@yourclinic.co.uk, or keep a single address across the organisation.
Consistency - Once set up, templates, confirmations, reminders and ad hoc emails automatically use your verified domain, so you don't need to configure this per communication.
How it works?
Using your own domain involves two parts:
Domain Authentication - Verifying that you own a domain by adding DNS records. This is a one-off technical setup, usually completed by whoever manages your organisation's domain or email hosting.
Sender Configuration - Choosing the inbox name (the part before the @) to pair with your verifies domain and optionally setting different sender addresses per clinic.
Emails sent this way are still sent from within HearLink. While they use your authenticated domain as the sender, they are not sent through your external email provider's mailbox, so they will not appear in the "Sent" folder of your email provider (such as Outlook or Gmail).Where to go next
