Your Wallet is a prepaid balance that funds your clinic's SMS messaging in HearLink. You top the Wallet up with a card payment, and each message you send is charged against the balance at the current rate. From the Wallet you can top up manually, set up automatic top-ups so you never run out mid-campaign, get an email when your balance is running low, and review every transaction.



In this article we'll cover how to:

Finding your Wallet

  • Go to Organisation settings and click Wallet.
  • The Wallet is available to organisation owners. If you don't see it, you may not have the required permission.



  • The Wallet page shows your Balance, your Service Rates, your Auto top-up and Low-balance Alerts settings, and your Transaction History.



Your balance and service rates

  • Your balance is shown as a currency amount in your organisation's currency, for example £12.40 or €12.40.
  • If your clinic sends SMS through HearLink, the Service Rates section shows the current price per SMS, charged per message part.
  • A message of up to 160 characters is one part (70 if it contains emoji or special characters). Longer messages are split into parts of 153 characters (67 with emoji or special characters).
  • Messages are charged at the rate in effect at the time you send.




Topping up your balance

  • On the Balance card, click Top-up.
  • Enter the Amount you want to add. There is a minimum top-up amount. If you enter less, you'll see a message such as "Minimum top-up is £10.00" and you won't be able to continue.
  • Select Continue to payment to open the secure Stripe payment page and enter your card details.
  • Once payment completes, you're returned to the Wallet and your balance is updated. The top-up appears in your Transaction History as a Purchase.



Your card is saved during your first manual top-up. This is what makes automatic top-ups available (see below).




Setting up automatic top-ups

Automatic top-ups charge your saved card and add credit whenever your balance runs low, so your messaging isn't interrupted.

  • You need a saved card first. Make one manual top-up (above), your card is saved during that payment, and the Auto top-up option becomes available.
  • On the Auto top-up card, click Edit.
  • Turn on Enabled, then set:
    • Auto top-up trigger amount - when your balance drops to this amount or below, a top-up is triggered.
    • Top-up amount - how much to add each time. This must be at or above the minimum top-up amount.
    • Cooldown (hours) - the minimum time between automatic top-ups, to prevent repeated charges in quick succession.
  • You can update your saved card here using Change card.
  • Save your changes. Automatic top-ups appear in your Transaction History as an Auto Top-up.



If your top-up amount later falls below a raised minimum, the automatic charge won't go ahead and you'll receive an email asking you to update your auto top-up settings.



Low-balance alerts

Low-balance alerts email chosen recipients when your balance is running low, so you can top up before you run out.

  • On the Low-balance Alerts card, click Edit. (You need a Wallet with at least one top-up before you can set alerts up.)
  • Turn on Enabled.
  • Set Alert when balance is at or below to the amount at which you want to be warned.
  • Add one or more Recipient emails. At least one valid email address is required when alerts are on.
  • Save your changes.




Viewing your transaction history

  • The Transaction History section lists your most recent activity, with the date, type, amount, the balance after each transaction, and a description.
  • Transaction types are:
    • Purchase - a manual top-up you made.
    • Auto Top-up - an automatic top-up charged to your saved card.
    • Consumption - an amount spent, such as sending an SMS.
    • Refund - an amount credited back, such as a message that failed to send.
    • Grant - credit added to your balance by HearLink.
  • Amounts added to your balance are shown in green with a +, and amounts spent are shown in red with a .
