What are resources?

Modified on Fri, 11 Jul at 2:42 PM

Resources in HearLink represent physical items or spaces required to carry out appointments, such as clinic rooms, audiological equipment, or specialised booths. By defining these resources within your organisation, the system can ensure they're available and properly allocated when appointments are scheduled.

Resources help avoid double bookings, ensure accurate clinic planning, and allow clinics to function more efficiently across multiple locations.

Why use Resources?

Appointment accuracy
By linking resources to appointment types, HearLink ensures that required items, like a specific consultation room or test booth, are available at the time of booking.

Clinic-specific allocation
Each clinic within your organisation can be assigned its own set of resources. This is especially useful for organisations with multiple sites or differing setups. For example, one clinic might have three sound booths, while another has just one.

Operational visibility

When resources are accurately tracked, clinics gain a clearer understanding of their capacity and availability. This supports smarter scheduling and reduces the chance of errors.

How it works

You define your resources once, then assign them to the clinics where they're available. After that, you link them to the relevant appointment types.

Resource NameTypeUsed ForClinic Allocation
Sound Booth 1EquipmentHearing Tests, DiagnosticsClinic A
Clinic RoomRoomConsultations, Follow upsAll clinics

OtoscopesEquipmentEar examinationClinic A, Clinic B

Example:

  • A Hearing Test might require a sound booth and an audiometer.

  • A Consultation may only need a standard clinic room.

When a user books an appointment, HearLink checks that the required resources are free before confirming the slot.

Using resources ensures your clinics run smoothly, your calendars reflect real capacity, and patients receive care without interruption. It’s a powerful way to align your schedule with the reality of your day-to-day operations.
